Information we collect
- Identity and contact details, including your name, business name, email address, telephone number and billing, delivery or collection details.
- Customer-account and security information, including password hashes, verification status, sessions, security events, passkeys, authenticator settings and trusted-browser records.
- Order, quotation and transaction information, including products, sizes, quantities, prices, VAT, payment status, invoices, credit notes and refunds.
- Artwork and production information, including uploaded files, proofs, approvals, print instructions, preflight results, production records and quality-control evidence.
- Customer-support communications, internal order notes and complaints relevant to providing or improving the service.
- Technical information such as IP address, browser or device details, security logs, website requests and cookie-consent choices.
How we use information and our lawful bases
- To create quotations, take and fulfil orders, process artwork, collect payment, produce goods, arrange delivery or collection and provide customer support. We normally rely on taking steps at your request and performing our contract with you.
- To issue and retain invoices, VAT evidence, refunds, credit notes and accounting records. We rely on legal obligations that apply to our business.
- To protect customer accounts, prevent fraud, secure payments, investigate misuse, maintain audit evidence and operate the website reliably. We rely on our legitimate interests and, where relevant, legal obligations.
- To improve our catalogue, production workflow, website and customer service using limited operational information. We rely on our legitimate interests, balanced against your rights.
- To use optional analytics or marketing technologies only where you have given consent through the cookie-preference manager. You can withdraw that consent at any time.
Where information comes from
Most information comes directly from you when you browse, register, request a quote, place an order, upload artwork, approve a proof, contact us or visit the studio. We may also receive payment confirmation from our payment provider and delivery updates from a courier or collection service.
Who we share information with
- Payment providers, including Stripe, to securely process card payments and payment events. HOLO Print does not store complete card details.
- Hosting, database, private-file storage, email and security providers that operate the website and send transactional messages on our behalf.
- Couriers, delivery partners and collection services where needed to fulfil your chosen delivery method.
- Professional advisers, insurers, accountants, auditors, law-enforcement bodies, regulators or courts where necessary and lawful.
- A purchaser or successor if the business or relevant assets are reorganised or sold, subject to appropriate confidentiality and data-protection safeguards.
We do not sell customer personal information to advertisers.
International processing
Some technology or delivery providers may process information outside the United Kingdom. Where this happens, we require an appropriate legal transfer mechanism or other safeguards recognised by UK data-protection law.
How long we keep information
- Invoices, VAT records, orders, credits, refunds and related commercial evidence are generally retained for at least six years, and longer where the law, an investigation or a dispute requires it.
- Account and security records are kept while the account is active and for a proportionate period afterwards to protect the service, deal with claims and maintain security evidence.
- Artwork, proofs and production files are kept only for as long as needed to fulfil the order, support an agreed reorder, resolve a complaint or meet a legal requirement. We do not promise permanent artwork archiving.
- Unsuccessful enquiries, abandoned quotations, technical logs and support communications are reviewed and deleted or anonymised when they are no longer reasonably needed.
- Cookie choices are normally retained for up to 180 days, unless the consent policy changes sooner.
Your data-protection rights
- Ask for a copy of the personal information we hold about you.
- Ask us to correct inaccurate or incomplete information.
- Ask us to erase information where the right applies. This right is not absolute, and we may need to retain statutory financial or dispute records.
- Ask us to restrict processing or object to processing based on legitimate interests.
- Ask for portable information where the legal conditions apply.
- Withdraw consent at any time where processing is based on consent, including optional cookies and direct marketing.
You have an absolute right to object to your personal information being used for direct marketing. We do not make solely automated decisions that produce legal or similarly significant effects about customers.
How to exercise your rights or complain
Contact sales@holoprint.co.uk and tell us what you need. We may ask for information to confirm your identity and protect your account.
You can also complain to the Information Commissioner’s Office if you are unhappy with how we use your information. We would appreciate the opportunity to investigate your concern first.
